Selling a villa project in Bali means selling units that do not exist yet, to buyers who are mostly abroad, through your own team and a network of partner agents, with payments spread over the construction period. This guide covers what a CRM must do to handle that, and what to check before you choose one. For the general developer checklist, read CRM for real estate developers.
What is a CRM for Bali villa developers?
A CRM for Bali villa developers is a system that connects the sales side of a project in one place: the unit inventory with each villa's status, every buyer and lead across channels, and the partner agents who bring buyers. It shows at any moment which units are available, reserved or sold, who brought each buyer, and what the next step is with each of them. Payment schedules usually stay in the developer's finance or accounting tool.
A generic sales CRM tracks contacts and deals. A developer CRM also knows that "Villa 7, 2 bedrooms, leasehold 30 years" is a unit with a status, a price and a tenure, and that it cannot be promised to two buyers.
Why do spreadsheets break on an off-plan villa project?
On a project of ten or twenty villas, the classic setup is one availability sheet, one payments sheet, WhatsApp groups with partner agents, and leads arriving in several inboxes. It works until the launch, when enquiries spike and several people edit at once. The typical failures:
- Double promises. Two agents offer the same villa because the sheet was not updated after a reservation.
- Lost leads. Portal and Instagram enquiries land in different inboxes during the launch, and some never get a reply.
- Commission disputes. Two partner agents claim the same buyer and there is no timestamped record of who introduced them.
- Silent buyers. A foreign buyer paid a deposit and hears nothing for two months, then starts to worry.
How should units and their status be managed?
Each villa should be a record with its own data: unit number, type, land and building size, bedrooms, ownership structure (leasehold term, or sale through a company), price, and status. Use a small set of statuses that everyone understands.
When a unit moves to Reserved, it should disappear from what the AI and your agents offer. That single rule removes most double promises. With Closio, units are managed as listings with a status in the Closio CRM, and the AI real estate agent only offers what is available.
What should the CRM record for each sale?
Each sale should be one record that links the unit, the buyer, the source of the lead and, when relevant, the partner agent, with every sales step dated from first enquiry to handover.
The CRM is where your sales team and management see where every buyer stands. For each sale, track:
How do you handle IDR and USD on the same project?
Many Bali projects are marketed in USD to foreign buyers while contracts, local costs and some local buyers work in IDR. On the sales side, show each unit's price in the currency you market it in, and note the contract currency on the sale. Avoid quoting a price converted at a daily rate in a chat: agree in the contract which currency and which rate apply. Payments, receipts and currency reconciliation belong to your finance team and their accounting tool, which is where those numbers are actually reconciled.
How do you attribute buyers brought by partner agents?
Partner agents are a large share of sales for many Bali developers. Attribution must be clear before a dispute starts. The simple rule: the first registered introduction wins, with a timestamp. Partner agents register a buyer (name plus contact) in the CRM or through a form, the system records the date and the source, and the commission terms are attached to that sale. Your in-house team sees the same record, so no one chases a buyer already introduced by a partner.
Which buyer documents should the CRM keep?
Foreign buyers send passports, sometimes company documents if they buy through a PT PMA, signed reservation forms and agreements. Keep them on the buyer and sale record, not in chat threads. Access should be limited to the people who need it. The legal structure of each sale is decided with your notary (PPAT) or lawyer; the CRM simply makes sure the right documents are in one place and nothing is missing at handover.
What reports does a developer need each week?
- Inventory: available, optioned, reserved and sold units per project.
- Pipeline: new leads by source (portals such as Rumah123, Lamudi, FazWaz or Dot Property, Instagram, WhatsApp, website, partner agents).
- Conversion: leads to viewings (on site or video), viewings to reservations.
- Response: how fast new enquiries got a first reply, including those answered by the AI real estate agent.
- Partners: buyers introduced and sales closed per partner agent.
Closio builds these reports per project; payment and cash figures come from your finance tool. To compare where your buyers come from, see Bali property lead sources compared.
How do you keep foreign buyers updated during construction?
A buyer who paid from abroad needs to see progress. Plan a regular update, for example monthly, with photos or a short video of the site and the next construction stage. Log each update in the CRM so you know who received what. Send it on the buyer's preferred channel, often WhatsApp; our guide to the WhatsApp Business API for Bali agencies explains how to message many buyers properly. New enquiries about the project, at any hour and in any language, can be answered by an AI real estate agent for Bali. See also Closio for developers and Closio in Bali.
- Each villa is a unit with a status: available, option, reserved, sold, handed over.
- Keep payment schedules in your finance tool; the CRM owns the sales side.
- Show prices in the marketing currency and note the contract currency on each sale.
- Timestamped partner registrations prevent commission disputes.
- Regular, logged construction updates keep foreign buyers confident.
